The short answer
Connect the printer to the local network first, then add it from the printing computer. Discovery cannot succeed if the printer has not actually joined an accessible network.
Where this applies
Applies to Ethernet and Wi-Fi printers on a trusted local network in Windows 11 and macOS. Enterprise networks and shared printers may require administrator-provided settings or permissions.
Identify the right device and prepare
Identify the exact model and its supported network connection, obtain the network name from an authorized administrator, and check the printer's own network status. Do not publish a printer's network address externally.
Work through the checks in order
A laptop connected to guest Wi-Fi and a printer connected to the office network can both access the web while remaining isolated from each other. A driver download cannot cross that network boundary.
- Use the manufacturer's instructions or printer panel to connect to the correct local network; confirm it shows connected rather than merely Wi-Fi enabled.
- Place the computer on a network that can reach the printer. Guest isolation, a VPN, or separate network segments can prevent discovery even when both devices have internet access.
- On Windows open Settings > Bluetooth & devices > Printers & scanners; on Mac open System Settings > Printers & Scanners. Add the discovered printer and verify its displayed model.
- Print a short test document. If the printer does not appear, check its network status and consult your network administrator before using manually supplied connection details.
Expected result and next branch
The computer has a queue for the intended device, and a test sheet prints while both remain connected to the network. Record which queue works if several similarly named entries appear.
If another authorized computer prints but yours cannot, compare the networks and permissions. If no computer can print, check the printer panel and network path rather than reinstalling multiple computers.
Safety and limits
Avoid exposing a printer to the public internet or changing router security to force discovery. On managed networks, use the print server and instructions supplied by IT.
